MEPAT: Business Process Automation in SAP Business One

At MEPAT, we have taken a firm step towards the future with the implementation of SAP Business One, a tool that allows us to manage all key areas of the company in an integrated and efficient way.

Automating to evolve: a commitment to continuous improvement

The decision to implement SAP Business One arises from a dual objective: to gain operational efficiency and reduce human errors in critical processes. This approach aligns with our philosophy of continuous improvement and positions us as a reliable partner for demanding sectors such as rail, electromedical devices, ticketing, etc.

We are currently in the early stages of process automation, with the support of SOFTWARE GREENHOUSE, who explain our collaboration in the following brief interview:

“Automating processes in SAP: the future of business efficiency”

How can SOFTWARE GREENHOUSE help industrial companies like MEPAT automate their business processes in SAP?

RPA technology significantly simplifies the workload generated by repetitive and high-volume tasks, which are rule-based and consume a considerable amount of users’ time.

If we think specifically about an industrial company, we could mention some examples from which SAP users can benefit (without the need to modify the ERP):

  • Data entry in forms
  • Report generation
  • Workflow management
  • Updating production or maintenance orders
  • Updating inventories
  • Processing invoices and logistics documents
  • Automating massive data loads such as price lists, orders, or accounting transactions
  • Integration with multiple business applications (CRM, MES, Microsoft Excel, SharePoint, Outlook…). This enables the creation of automated workflows that span multiple systems, facilitating data transfer and process coordination across different platforms.

What types of processes are usually the first ideal candidates for effective automation?

The ideal candidates to start automation usually are:

  • Simple processes (with few exceptions),
  • Processes with a considerable volume of repetitions, allowing employees to move away from mechanical, non-value-added tasks.
  • Processes with visibility, so they are attractive to communicate internally as a ‘quick win’ and, at the same time, generate positive expectations.

In other words, we are not talking about large-scale projects, but rather day-to-day tasks that can be optimized. These are simple projects that can add value to people, companies, customers, and can be applied across all areas of the organization.

In your experience, what are the most visible benefits that a company obtains in the first months after automating?

The most tangible benefits are:

  • Improved operational efficiencyIncreased accuracy, operational speed, and reduced errors
  • Improved SLA in response to changes in demand or production. A more agile response that enhances the customer experience.
  • Reduction of labor costs associated with repetitive tasks
  • More time dedicated to high-value strategic tasks. This not only benefits the company, but also improves employee motivation.

Data processing, report generation, and purchase order management.

How do you support teams throughout the digital transformation process?

At Software Greenhouse, we adapt closely to the needs and expectations of each client. The stages where we most often provide support are:

  • We show how the technology works to the company. We usually work with a real use-case example. This helps clients ‘discover’ which processes can benefit from automation.
  • We assist in the ‘discovery and matching of processes’, allowing them to be classified according to suitability, complexity, and priority for the company.
  • It is advisable to have a leader from the very beginning who conveys the ‘culture and effectiveness of the project’. It is remarkable to see how quickly internal maturity develops — moving from initial skepticism to a growing flow of ideas once the first benefits become visible, reflecting a clear shift in mindset across the organization.

The level of training and support throughout the project will, in turn, depend on the level of self-sufficiency the client wishes to achieve.

“The greatest threat is falling behind.”

For those who are still unsure whether to automate or not: what message would you give them?

In the midst of the Digital Transformation race, we are not only talking about operational efficiency, but about a strategic decision to remain competitive.

In such a dynamic environment, automation is a great ally, where agility plays a key differentiating role. Automation allows you to free people from repetitive tasks, reduce errors, make faster decisions, and focus on delivering real value to the business.

Companies that have taken this step not only optimize resources, but also improve their capacity for adaptation, innovation, and sustainable growth.
